Step 1: Secure an ADA-Compliant Location

  • Public libraries are free. So is Zoom! 
  • Identify venues accessible to all individuals, including those with disabilities.
  • Ensure the venue has adequate seating, audiovisual equipment, parking, and restroom facilities.

Step 2: Select an Optimal Date and Time

  • Prioritize evenings or weekends to accommodate participants who work standard weekday hours.
  • Avoid scheduling on holidays, significant community events, or other local activities that may compete for attention.

Step 3: Coalition Building

  • Invite allied organizations to co-host the event.
  • Clarify expectations: Co-hosts should commit to actively promoting the event to their networks.

Step 4: Outreach Strategy

  • Event Details: Please provide the date, time, location, and co-host details, along with logos, to [email protected].
  • ASA Support: ASA will create social media graphics, list the event on the ASA website calendar, and email ASA supporters in your region.
  • Local Promotion:
    • Conduct personal outreach through phone calls and text messages.
    • Engage local medical cannabis businesses and allied organizations to inform their members.
    • Print and distribute posters to relevant local establishments.
    • Create a Facebook Event and share on social media.  

Step 5: Event Execution

Sample Agenda:

    1. Welcome and Introductions
    2. Instructions on location  
    3. Review meeting guidelines and expectations
    4. Present "Federal Medical Cannabis Protections are at Risk, Again", using either ASA's Presentation or this pre-recorded ASA presentation video 
    5. Facilitate a discussion and Q&A session to address attendee concerns and questions
    6. Take a group photo

Step 6: Post-Event Reporting

  • Document attendance, including attendees' contact information with emails and phone numbers for follow-up, key discussion points, and action items.
  • Share a brief summary report with ASA to assist in advocacy and follow-up efforts.
  • Post an event update with photos to social media, tag your elected officials: (Congress social media handles).
